When should PD’s be submitted?

After the supervisor has reviews the position management implications, he/she should contact the personnel office and see if a standard PD exists that describes the primary duties of their desired position. If an existing PD or standard PD that is already covered is used, skip this section. However, if a new PD is written or if the duties, title, series, grade, or position number are changed on an approved PD, it must be resubmitted in accordance with the following procedures. THE PD SHOULD BE SUBMITTED FOR COVERAGE AFTER IT IS CLASSIFIED, BUT PRIOR TO RECRUITING. CONTACT YOUR FLERT REPRESENTATIVE FOR INFORMATION ON EXPEDITING THE COVERAGE PROCESS.

ALL PD's that contain firefighting and/or law enforcement duties should be submitted for special retirement coverage determination. Firefighter and Law Enforcement special retirement Coverage determination categories are: Not covered (NC): Primary (P): Secondary-administrative (SA): Secondary-supervisory (S/SP).

STANDARD PD's:

FIRST - Use a standard position description, if available.

Most Bureaus have a standard PD numbering system. YOU MUST follow the procedures established for your Bureau for identifying the standard PD number on the SF-50 of the selected employee.

AMENDING ALREADY COVERED PD's

Use DI-625, Position Classification Amendment (sample of forms page) if you are amending a PD and not affecting the classification of the position or making changes to the duties. This form should be used for such changes as, change in Position number, addition of statements, such as "This is a drug testing Position", to change the supervisor or organization location of the position, etc. Submit entire PD with DI-625 to update our records of this addition.
